How to Make an Invoice on iPhone (Step by Step)
Updated · By the JustInvoice team at PrismCode Labs
You finished the job and want to get paid today, not after you get back to a laptop. Your iPhone is enough. This guide walks through making a professional invoice on your phone, sending it, and keeping track of whether it has been paid.
What you need before you start
- Your business name and contact details (and tax number, if you are registered for one).
- Your client's name, and their email or phone number.
- What you are charging for: each item or service, the quantity, and the price.
- Your payment terms: when payment is due and how the client can pay.
Not sure what belongs on the invoice? See what to include on an invoice.
Option 1: Use a template in Pages or Numbers
Apple's free Pages and Numbers apps include invoice templates. They work for an occasional invoice, but you fill in totals, numbering and tax by hand, and there's no way to see which invoices are still unpaid.
- Open Pages or Numbers and create a new document from the template gallery.
- Pick an invoice template and replace the sample details with yours.
- Fill in the line items and check the totals carefully.
- Export as PDF from the share or more menu, then send it.
Option 2: Use an invoice app (faster for regular invoicing)
If you invoice every week, an invoice app saves time: it numbers invoices for you, calculates tax and totals, remembers clients, and shows what is overdue. JustInvoice is the one we make. Here is the flow:
- Open JustInvoice and add your business name. No account or sign-up is needed.
- Tap to create a new invoice and add your client.
- Add line items, plus tax, a discount and the due date if you need them. The totals calculate as you go.
- Choose a template (Classic, Modern or Minimal) and a color theme.
- Share the PDF by email, WhatsApp, AirDrop or Messages, or print it.
JustInvoice works offline and keeps your data on your device. It supports more than 30 currencies, with the currency chosen per invoice, which helps with international clients.
After you send it: track payment
Sending the invoice is half the job. In JustInvoice every invoice has a status (Paid, Unpaid or Overdue), and the overdue tracker flags late payments so you can follow up. The Insights dashboard shows total revenue, collection rate and outstanding balance, and aging buckets (0–30, 31–60, 61–90 and 90+ days) show how long money has been owed.
Tips to get paid faster
- Send the invoice the same day you finish the work.
- Use a clear due date ("Due 15 October") rather than only "Net 30".
- List exactly how to pay: bank details, payment link or accepted methods.
- Send the invoice on the channel your client actually reads. For many small clients that is WhatsApp, not email.
- Follow up politely on the day an invoice becomes overdue.
